•The Administrative Manager is responsible for ensuring the smooth, efficient, and cost-effective operation of the company's administrative activities. The role involves supplier management, tender and procurement processes, office administration, payment coordination, and ensuring that all administrative activities are carried out in accordance with Dahua Technology's internal policies, procedures, and approval processes. The Administrative Manager works closely with internal departments, suppliers, finance, and management to ensure that administrative requirements are handled accurately, efficiently, and on time. Key Responsibilities Office Administration & Facilities Manage daily office administration, office supplies, stationery, household goods, and consumables within the approved budget. Ensure a clean, healthy, and well-organized office environment
•manage office and warehouse. Manage service apartments for Chinese employees. Handle other administrative tasks and projects as required. Procurement & Supplier Management Identify, evaluate, negotiate with, and manage suppliers to ensure the best quality and prices. Maintain strong relationships with existing and new partners and support onboarding/registration of new suppliers. Organize procurement activities, tenders, and quotation comparison processes with company policies and procedures. Main counterparties include office management team, taxi service, cleaning service, IT specialist, network provider, corporate car, etc. Organize procurement and conduct inventory of company fixed assets. Payments, Documentation & Compliance Create and process supplier payment requests through the Dahua portal/internal system and control payment execution. Manage invoices, contracts, procurement documentation, and administrative records. Coordinate with Finance and other departments regarding payments, purchases, and administrative matters. Ensure procurement and administrative activities comply with company policies and procedures. Travel & Expat Support Organize employee business trips, including booking tickets and hotels. Handle work permits, residence permits, and registration procedures for Chinese employees. Corporate Atmosphere and Culture Demonstrate initiative and a creative approach in organizing team-building and corporate events. Contribute to creating a positive and comfortable atmosphere within the team. Support and promote the company’s corporate culture and values. Organize activities aimed at strengthening team spirit and increasing employee engagement. Create opportunities for effective communication and collaboration among employees. Requirements Previous experience in administration, procurement, or supplier management. Strong organizational, communication, and negotiation skills. Good knowledge of Microsoft Office, especially Excel. Ability to manage multiple tasks and meet deadlines. Fluent in Azerbaijani, Russian, and English. Responsible, proactive, detail-oriented, and able to work independently.
